This Privacy Policy explains how [LEGAL ENTITY / OWNER NAME] ("Climbing ScoreCard," "we," "us," or "our") collects, uses, and shares information when you use the website at climbingscorecard.com and the Climbing ScoreCard software and services (together, the "Service").

By using the Service, you agree to this Privacy Policy. If you do not agree, please do not use the Service.

1. Who this policy covers

The Service is used by several kinds of people, and what we collect depends on how you use it:

  • Organizers / gym staff — people who create an account to set up and run competitions.
  • Route setters — people given access to plan and track route setting.
  • Judges — people who score climbers, usually by scanning a one-time code on their own phone.
  • Competitors / climbers — people entered into a competition, whose scores are tracked.
  • Visitors — anyone who browses the website, views public event pages, or watches a live scoreboard.

2. Information we collect

Account information (Organizers). When you create an organizer account, we collect information such as your name, email address, gym or organization name, and login credentials. We store passwords only in a hashed (encrypted) form.

Competition data (entered by Organizers). To run an event, Organizers enter or upload information about competitors — such as names, bib numbers, divisions, categories, and scores — along with route, event, and scoring details. Some of this information is displayed publicly (see Section 4).

Judge and scoring activity. When a judge scores, we record the scores, attempts, and the association between a judging device and the routes it is assigned, using one-time access codes rather than personal accounts.

Contact form data. If you use a contact form, we collect the information you submit (such as your name, email, organization, and message) so we can respond. Contact form delivery is handled by a third-party service (see Section 6).

Payments / donations. Contributions are voluntary and made through third-party services such as Venmo. We do not collect or store your card, bank, or Venmo account credentials — those are handled entirely by the payment provider.

Usage and device information. Like most websites, we and our hosting and analytics providers may automatically collect technical information such as IP address, browser type, device type, pages viewed, and timestamps, including through cookies and similar technologies.

3. How we use information

We use information to:

  • provide, operate, and maintain the Service;
  • create and manage accounts and authenticate users;
  • run competitions, calculate scores, and display leaderboards, statistics, and event pages;
  • respond to your messages and provide support;
  • monitor, secure, and improve the Service, including preventing fraud, abuse, and unauthorized copying or scraping;
  • comply with legal obligations.

4. Public display of competition data

Competitions are, by nature, public events. Certain information — such as competitor names (or the identifiers an Organizer chooses to use), bib numbers, divisions, categories, and scores — is displayed on public leaderboards, live scoreboards, event statistics, and public event pages, and may be shown on screens, projectors, or livestreams at a venue.

Organizers decide what identifying information to enter. If a competitor prefers not to have their full name shown publicly, they should raise this with the Organizer running their event.

5. Roles: who controls competition data

For competition data, the Organizer (gym or event host) is the party that decides what data is collected and how it is used, and is responsible for having any necessary permission from competitors (including from a parent or guardian where a competitor is a minor). Climbing ScoreCard processes that data on the Organizer's behalf to provide the Service. If you are a competitor and want your data corrected or removed, please contact the Organizer of your event first; we will support reasonable requests routed through them.

6. Third-party services

We rely on third-party providers to operate the Service, and information may pass through them, including:

  • Website hosting and infrastructure providers that host the site and software.
  • Contact form delivery (for example, FormSubmit) to deliver messages you submit through our forms.
  • Payment / donation services (for example, Venmo) if you choose to contribute.
  • Content delivery / fonts (for example, Google Fonts or CDN providers) used to load parts of the website.
  • Analytics providers, if enabled, to understand site usage.

Each provider handles data under its own privacy policy. We do not sell your personal information.

7. Cookies

The Service uses cookies and similar technologies to keep you logged in, remember preferences, and understand usage. You can control cookies through your browser settings; disabling some cookies may affect how the Service works.

8. Data retention

We keep information for as long as needed to provide the Service, run and archive events, comply with legal obligations, resolve disputes, and enforce our agreements. Organizers can request deletion of an event's data; some information may remain in backups for a limited period.

9. Security

We use reasonable technical and organizational measures to protect information, including hashed passwords and access controls. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

10. Children's privacy

Climbing competitions often include minors. Climbing ScoreCard is intended to be operated by Organizers and adults, not directly by young children. We do not knowingly collect personal information directly from children under 13 (or the minimum age required by local law) through account sign-up.

Where a competition includes minors, the Organizer is responsible for obtaining any required consent from a parent or guardian before entering a minor's information. If you believe a child's information has been provided without proper consent, contact us at info@climbingscorecard.com and we will work with the relevant Organizer to address it.

11. Your rights

Depending on where you live, you may have rights to access, correct, delete, or restrict the use of your personal information, or to object to certain processing. To exercise these rights, contact us at info@climbingscorecard.com. If your request concerns competition data, we may direct you to, or coordinate with, the Organizer who controls that data.

We will not discriminate against you for exercising these rights.

12. International users

The Service is operated from the United States. If you access it from outside the United States, your information may be transferred to and processed in the United States, where privacy laws may differ from those in your country.

13. Changes to this policy

We may update this Privacy Policy from time to time. When we do, we will change the "Last updated" date above, and significant changes may be highlighted on the website. Your continued use of the Service after changes take effect means you accept the updated policy.
